The ultimate guide to hosting a conference

October 22, 2026

When you’re looking for a conference venue for your next event, the default is to judge it based on capacity and location. In reality, these aren’t the factors that make a conference impactful. It’s the room, the technology, and the catering that make an event truly memorable.

What impactful actually means for a conference

A packed room says nothing about whether delegates left with anything useful, or whether the event actually did what it set out to do for the business behind it.

Event planners’ priorities are changing too. Conference News reported that 60% of planners now consider advanced AV support as a top priority, reflecting how engagement and business outcomes matter more than headcount when it comes to calling an event a success. A conference that’s genuinely impactful is one where the room, the tech, and the format all work together to keep people engaged.

Choosing a conference venue in Mayfair: what actually matters

Room size and location are useful for shortlisting, but they aren’t enough to guarantee a good event.

What actually shapes delegate experience is how flexible the space is for different formats, whether there’s natural lighting, and whether the venue has character that makes the day feel like an occasion.

This is where the choice between a generic hotel conference suite and a distinctive, characterful venue starts to matter. Eventcage notes that unique venues tend to score higher on brand impact and delegate satisfaction than standard hotel conference spaces, particularly for events with a social element. As the operational gap on AV and catering that used to favour hotels has largely closed, planners no longer have to trade atmosphere for reliability.

Why in-house AV and catering make the difference

In-house AV and catering change two things: the planning experience, and the day itself.

Working with a venue that handles both aspects means one point of contact instead of several external suppliers to brief and manage. For a planner juggling multiple events, this can save them hours.

On the day, it’s about reliability. As Function Fixers points out, unreliable AV can undermine even a well-planned conference, and catering is one of the details delegates remember most, whether that’s in a good or bad way. Neither should be treated as an afterthought when it comes to venue selection, because both are highly visible the moment something goes wrong.

Understanding Day Delegate Rates

A Day Delegate Rate (DDR) combines the core elements of a conference day into a single price per person. Typically including room hire, AV, catering and refreshments throughout the day, this gives planners one number to budget, instead of lots of separate costs to organise.

As what’s included can vary by venue, it’s worth checking exactly what each venue’s rate includes before comparing prices.

Common mistakes planners make when booking a conference venue

Getting a conference right isn’t just about what you choose; it’s about what you overlook. These are the ones planners run into most often.

  • Underestimating AV needs: booking a room without checking what tech is included, then scrambling to source it separately once it’s too late.
  • Treating catering as an afterthought: leaving decisions until logistics are finalised, when catering is one of the details delegates remember most, for better or worse.
  • Judging on capacity alone: choosing a venue purely on how many people it holds, without considering whether the space suits the format of the day.

Each of these mistakes is avoidable by choosing a venue built to handle them from the outset, rather than trying to fix the gaps once the venue is confirmed.

Making your conference impactful for 200 guests

A 200-guest conference brings its own set of demands. The room needs to transition seamlessly between a full conference and smaller breakout sessions, without feeling like two different venues. AV has to match too, with sound reaching the back row just as important as the front, which is where a dedicated AV team comes in handy. Catering needs to work too, serving everyone between sessions without interrupting the flow of the day.

Finding a conference venue in London for 200 guests that handles all of this well, rather than one that ticks the capacity box, is what turns a large event into an impactful one. It’s the difference between a conference that fits everyone in the room and one where every guest has the same experience, whether they’re in row two or row twenty.

Why No.4

Situated in Mayfair, No.4 Hamilton Place offers flexible spaces for up to 200 guests and in-house AV and catering as standard. This means a single point of contact for the whole event, seamless technology, and spaces that are flexible for large conferences and smaller breakout sessions.

Venue choice shapes delegate experience from the moment guests arrive, and first impressions set the tone for everything that follows. A prestigious Mayfair venue does some of that work for you. The rest comes from a conference that runs exactly as planned, from arrival to the last guest departing.
